Start with the remote audience and the account owner. This checklist covers production preparation for Zoom, YouTube, LinkedIn and hybrid AGMs, not platform eligibility or meeting-governance guarantees.
1. Confirm access and destination
Name the account owner, publishing destination, viewers and guest speakers. Check the platform’s current requirements and permissions. Decide whether the broadcast is public, restricted or unlisted where the chosen platform supports it.
2. Review sound, slides and connection
Test the actual venue connection and route clean programme audio alongside readable presentation content. Confirm how remote presenters join and how their audio returns without echo. A speed test alone does not establish a complete contingency plan.
3. Rehearse handovers and moderation
Run introductions, presentations, remote questions and closing cues. Assign who handles online moderation and technical contact. Agree what viewers see during a pause or connection disruption.
4. Separate production from AGM governance
For an AGM, the organiser must define attendance, voting, quorum and compliance with its advisers and meeting platform. Scope the live production, viewing stream and recording separately.
5. Choose the right camera-feed partner
For a remote stream, scope Livestream KL. For in-room IMAG and switching, brief MyEventMCP and agree the output handed to the streaming team. For edited recaps after the event, brief Event Highlights.
